Offline vs cloud pharmacy software: which one suits your medical store?

Choosing between offline vs cloud pharmacy software comes down to one question: should your data live on a computer in your shop, or on servers you reach over the internet? If the line goes down every week, offline sounds obvious, and if you want to see today's sales from home, cloud sounds better. Both answers are partly right, so this guide sets out the real trade-offs for a Pakistani medical store, with prices.

The difference in one line each

Offline pharmacy software is installed on a computer in your shop. The data sits on that PC, and other counters connect to it over the shop network.

Cloud pharmacy software runs on the provider's servers. You open it in a browser, and every bill travels over the internet.

Nearly every other difference follows from where the data lives.

Internet: every minute, or now and then?

Cloud software cannot complete a bill without a connection. Before you choose it, test the line at your counter during the busiest hour, and keep a second connection from a different provider ready, such as a mobile hotspot.

Offline software keeps billing when the PTCL line is down or the router has no power. It still goes online from time to time for licence checks and updates. MediPOS Offline checks its licence about every six hours while the PC is online, and keeps working for up to 30 days without a check. A shop with no internet line at all can activate it with a code fetched on a phone.

Load-shedding: power matters more than internet

Offline does not mean power-proof. The main PC holds the data, so when it switches off, every counter stops. The router or network switch that joins the counters needs power too: a counter laptop on battery cannot reach the main PC through a dead switch. One UPS for the main PC and the router is usually enough.

Cloud has a different weak point. A laptop on battery keeps billing only while the internet lasts. Check how your mobile signal behaves during a long cut on your street before you rely on a hotspot.

Where your data lives

With offline software, your sales, stock and udhaar stay on your own computer. That also means the risk is yours: a failed hard disk, a theft or a virus can take the only copy.

With cloud software, the data sits on the provider's servers. You rely on them to keep it safe and available, and in return you can reach it from any device.

Ask any provider exactly what leaves your shop. In MediPOS Offline, the licence check sends only the licence, a code that identifies the PC and the software version. Bills, stock and customer records stay on the main PC.

Backups: whose job is it?

On cloud, the provider makes the backups. Ask how often, and whether you can export your own reports.

On offline software, backups happen on your PC, and getting a copy out of the shop is your job. MediPOS Offline backs up every night at 10 pm, whenever a cash shift closes and before every update, and checks each backup after making it. It keeps one for each of the last 14 days and each of the last 12 months. None of that helps if the disk dies, so copy the latest backup to a USB drive every week and keep the drive away from the PC.

One shop or several branches

If you run a second shop, or plan one soon, this may settle the question. MediPOS Offline runs exactly one branch, with its counters on the shop network. Several branches need Cloud.

In MediPOS Cloud, branches share products, customers and suppliers but keep their own stock, cash and invoice numbers. You move stock between branches with transfers and see reports for all branches together. A customer's udhaar follows them to whichever branch they visit.

Checking the shop from home

Cloud software opens anywhere: a laptop at home, or your phone's browser while travelling. Offline software keeps its data inside the shop, so you see today's sales only when you are there.

Updates and upkeep

Cloud updates happen on the provider's side, with nothing to install.

Offline updates arrive on your PC. In MediPOS Offline they download in the background, are signed so a damaged file is never installed, and make a fresh backup before installing. If an install fails, the previous version and your data come back by themselves. Normal updates wait until you click Install now.

Offline also needs a decent main PC that stays on all day: 64-bit Windows 10 or 11, at least 4 GB of RAM and ideally 8 GB. Cloud needs only a device with a modern browser.

Receipt printing

A Windows app can send receipts straight to a thermal printer with no print window, and open the cash drawer on cash bills. That is how MediPOS Offline prints. In a browser, MediPOS Cloud shows a small receipt window first. For a Cloud counter that needs silent printing, support can set up the MediPOS Windows app on that PC.

What it costs in PKR

MediPOS Offline licences run for one year or three years; Cloud plans are monthly or yearly. A yearly Cloud plan costs the same as ten months, and a three-year Offline licence the same as two and a half years.

Prices at the time of writing:

Basic allows 3 team members and one branch. Standard allows 10 team members and, on Cloud, up to three branches. Chain covers up to ten branches with unlimited staff. On Offline, plans also limit the Windows PCs running MediPOS: two on Basic and five on Standard.

Over three years, Basic costs Rs 30,000 on Offline and Rs 75,000 on Cloud paid yearly. The gap is real, but so are the extra costs of offline: a reliable main PC, a UPS and the habit of copying backups. Cloud's extra cost is a steady connection plus a backup one. One product, two editions

With MediPOS you do not trade features for an edition. Billing, batches and FEFO, distributor schemes, udhaar and reports work the same in both, and each plan includes the same modules on either edition. That leaves you free to decide on internet, branches and who looks after the data. Before you buy, the edition picked at sign-up can still be changed, and both start with the same 14-day free trial.

How to decide

Choose offline if most of these are true:

• you run one shop, with no second branch planned;
• the internet at the counter is unreliable;
• you want the data on your own computer and will look after backups;
• your counters are all in one building.

Choose cloud if most of these are true:

• you have, or will soon open, more than one branch;
• you want to check sales from home;
• the shop has a steady connection plus a backup;
• you would rather not look after a main PC.

Common questions

Does offline pharmacy software need the internet at all?

Now and then. MediPOS Offline needs it to activate (or a code fetched on a phone), to renew its licence at least once every 30 days, and to download updates. Daily billing, purchases and udhaar work without it.

What happens if the shop PC breaks?

Your data comes back from a backup onto a new PC, which is why a recent copy on USB matters. You then activate the new PC with the owner account and remove the old one from your plan to free its seat.

Can I move from offline to cloud later?

Yes, with help from support. An Offline pharmacy cannot add a second branch, so owners who open another shop move to Cloud. Before you buy, the edition chosen at sign-up can simply be changed.

Can counter staff bill from a phone on cloud?

The Cloud edition runs in any modern browser, including a phone's. For a busy counter, a PC with a barcode scanner and a thermal printer is more practical.
