Getting started with MediPOS

Sign up for the MediPOS free trial, set up your medical store and make your first sale. A first-day checklist for new pharmacies.

MediPOS is medical store billing software for Pakistani pharmacies: counter billing, batch and expiry stock, udhaar, distributor purchases and reports in one place. This guide takes a new owner from the sign-up form to the first printed receipt. It works the same way for the Cloud and Offline editions, and most owners finish it in an afternoon.

How to create your account and start the free trial

  1. On the MediPOS website, click Start Free Trial.
  2. Fill in Full name, Pharmacy / medical store name, City, Mobile number and Email address.
  3. Under How will you run MediPOS?, choose Cloud (online, any device, several branches) or Offline (on your shop computer, works without internet). If you are not sure, read Offline or Cloud first. The form reminds you that you can change this before you buy.
  4. Choose a password of at least 8 characters with letters and numbers, and type it again under Confirm password.
  5. Click Start free trial.

You go straight to the Dashboard. From now on you sign in on the Email or mobile number field, so Ahmed at Al-Shifa Pharmacy can type either [email protected] or 0300-1234567.

Sign-up also sets up the basics, so you do not start from an empty screen:

  • your first branch, Main Branch (code MAIN), with a Main Store you sell from and a Quarantine location for damaged or expired stock;
  • the standard roles: Admin, Manager, Pharmacist, Cashier, Purchase manager, Accountant and Inventory manager;
  • the payment methods Cash, Bank transfer, EasyPaisa, JazzCash and Card;
  • a chart of accounts and expense categories such as Rent, Salaries and Electricity.

What the free trial includes

  • 14 days, and no card is needed.
  • The trial plan's modules. Normally that is every module, so you can try purchasing, udhaar, expiry and reports before you pay.
  • One trial per mobile number, email address and PC. If a number already had a trial, the new pharmacy starts restricted until a plan is paid.
  • Three days before the end, a banner says Your free trial ends in 3 days with a Renew / choose plan button.

When the trial ends, a short grace period follows in which everything still works. After that the pharmacy is restricted: you can still sign in, view, print, export and collect udhaar payments, but new sales and purchases wait until a plan is paid. Nothing is ever deleted. Your first-day checklist

The Dashboard has a Getting started panel with four steps and a progress bar. Each step ticks itself when it is done.

1. Settings

Open Settings and fill in Address, Phone and Drug sale licence no. These print at the top of every receipt. Then, under POS & receipts, pick 80 mm thermal or 58 mm thermal to match your printer roll, and choose how bills are rounded. Details are in Pharmacy settings, receipts and POS options.

2. Team

Click Add team member on the Team screen. For example, add your morning cashier Bilal with his mobile number, a starting password and the Cashier role. He signs in with his own login, and his bills carry his name.

3. Products and opening stock

Pick the medicines you stock from the Medicine database with Add, then set your prices. If you have a list in Excel, Import data brings the whole list in one go, together with the stock on your shelves today: quantity, batch, expiry and cost. Udhaar customers and distributor balances can be imported the same way. See Importing products, customers and suppliers.

4. First sale

Open POS, scan a barcode or type a name (F2 jumps to the search box), and press F12 to Complete sale. The receipt prints. Try a real bill, such as two strips of Panadol for a walk-in customer.

On the Offline edition, before your first sale, open Account → Downloads, install MediPOS on the shop PC and sign in with the owner account to activate it. See Installing MediPOS Offline.

The menu shows only what your role allows and what your plan includes. If Stock counts is not in your menu, your plan does not include it; the owner can see what each plan includes under Plan & billing.

Rules and tips

  • The person who signs up is the Owner. The Owner holds every permission and cannot be disabled by anyone.
  • Changes to prices, stock, staff and settings go into the audit log with the person's name and the time.
  • Sales and purchases are never deleted. A wrong bill is voided or returned, so the record stays complete.
  • Money is shown in PKR and dates follow Pakistan time. Both are listed under Region on the Settings screen.
  • If you belong to more than one pharmacy, for example you work at one and own another, MediPOS shows Choose a pharmacy after you sign in.

Common questions

Do I need a card or any payment to start the trial?

No. The trial starts as soon as you click Start free trial. You pay only when you choose a plan, by bank transfer, JazzCash or EasyPaisa.

What happens to my data when the trial ends?

It stays exactly where it is. After the grace period you can still view, print and export everything and receive udhaar payments. Billing starts again as soon as your payment is verified.

I chose the wrong edition at sign-up. Can I change it?

Yes, before you buy. Contact the MediPOS team from Account → Support and tell them which edition you want.

Why can't my manager see Plan & billing?

Plan & billing needs the Manage settings permission. The Owner and the built-in Admin role have it. A Manager does not.
