Typing every medicine by hand is the slowest part of setting up a medical store. MediPOS includes a shared medicine database of brand names, compositions, companies and dosage forms, so you can build your product list by searching and clicking Add. This guide explains how to search the database, what is filled in when you add a medicine, and what you still set yourself: prices, pack sizes and stock.
What the medicine database is
The database is a reference list that MediPOS keeps for all pharmacies. It is not stock, and nothing in it can be sold until you add it to your own products. When you add a medicine you get your own copy. You can edit it freely, and your changes never affect any other pharmacy.
The medicine database is part of every plan. Anyone who can view products can browse it.
How to search the medicine database
- Go to Inventory → Medicine database, or click Add from medicine database on the Products & stock page.
- Type in the search box. You can search by:
- brand, for example augmentin;
- generic, for example amoxicillin, which finds every brand that contains it (Amoxil, Augmentin and others);
- company, for example Getz (company names match from the start);
- barcode, by scanning the pack (exact match only).
- Read the results: Medicine (with its dosage form underneath), Composition, Company and Class.
Results are sorted by how closely they match what you typed, 30 to a page. Capital letters do not matter.
How to add a medicine to your products
- Find the medicine, for example Augmentin 625mg Tablet.
- Click Add. MediPOS confirms that it is now in your products.
- The button changes to In your products. Click it to open the product.
Each medicine can be added once. If it is already in your products, the row shows In your products instead of Add.

Batch and expiry tracking are switched on, and an SKU is created for you. The product page shows Linked to the MediPOS medicine database.
Unless the database holds a pack for that particular medicine, the units follow the usual pack for its dosage form:

What you still set yourself
Prices. Prices are never copied into your products. Where the database has a suggested price, the product page shows it as a hint, marked unverified, and the POS never uses it. Your selling price comes from the MRP you enter on a purchase or on opening stock, or from the Default sale price (Rs.) on the product.
Pack sizes. Check the units against the box on your shelf before you enter any stock. If your Concor 5mg box holds 3 strips of 10, open the product, click Edit, and change Box from 100 to 30. Saved units cannot be deleted from the form. If you never sell by the strip, untick Sell in it for Strip.
Stock. Adding a medicine does not add stock. Enter opening stock for what is on the shelf, or post the distributor's bill.
Shop details. Set the Reorder level (base units), Rack / shelf and, if needed, Sales tax (%).
Rules and tips
- Adding a medicine needs the Add / edit products permission. Cashiers can browse but do not see the Add button.
- Fix pack sizes first. After stock has been recorded, the size of a unit can no longer change. You can only add a new unit.
- You can rename the product. Names from the database are brand, strength and form, which is what prints on the receipt.
- Your product is a copy made when you add it. Later changes to the database do not change your products.
- A new launch may not be in the database yet. When a search finds nothing, you see Not in the database yet? Create it as your own product, with a New product button.
- A quick way to start: with a distributor's bill in front of you, search each item and add it from the database before you enter the purchase.
Common questions
Does adding a medicine also add stock?
No. The medicine is added with zero stock. It appears on Products & stock as Out of stock until you enter opening stock or post a purchase.
Why is there no price on the medicines I added?
MediPOS never copies a price as if it were checked. Printed prices change and differ between packs. Enter the MRP when you receive the stock, or set a default sale price on the product.
I cannot find a medicine that I stock. What should I do?
Try the generic name or the company, and check the spelling of the brand. If it is still missing, create it with New product. It works exactly like a database medicine.
Can I add the same medicine twice for two pack sizes?
No, each database medicine can be added once. Add the second pack size as another unit on the same product, for example Box of 20, so the stock stays together.
