Installing MediPOS Offline

MediPOS Offline is pharmacy software for Windows that keeps billing, stock and receipts working with no internet. This guide is for the owner, or whoever sets up the shop computer. It covers what the PC needs, running the installer on the main PC, creating your pharmacy in the Set up your pharmacy window, and how the 14-day evaluation leads to activation. Counter PCs have their own guide.

What your computer needs

• Windows 10 or 11, 64-bit. Windows 7 and 32-bit Windows are not supported. On those, the installer stops with "MediPOS needs 64-bit Windows 10 or 11."
• Memory: at least 4 GB of RAM. 8 GB is recommended for the main PC, because it runs the database.
• Disk: at least 5 GB free. MediPOS itself takes about 3 GB; the rest is room for your data and the daily backups.
• Screen: 1366 × 768 or larger.
• Optional: a 58 mm or 80 mm thermal receipt printer, and a shop network (router or switch) if you will add counter PCs.

Nothing else needs to be installed first: the database and everything MediPOS uses are inside the installer.

How to download the installer

Open the Download page on the MediPOS website and click Download for Windows, or sign in to your MediPOS account and open Account → Downloads → Download installer. The file has a name like MediPOS-Setup-0.10.0.exe.

How to install on the main PC

Install the main PC first. It keeps the pharmacy's database, so choose the computer that stays on all day, ideally on a UPS so a load-shedding cut does not switch it off mid-bill.

1. Double-click the installer. When Windows asks whether it may make changes, choose Yes.
2. On the welcome page click Next, then I Agree on the licence agreement.
3. On How is this PC used?, choose Main PC of the pharmacy (keeps the data).
4. If other counters will use MediPOS, tick Counter PCs on the shop network will connect to this PC. You can also run the installer again later and tick it then.
5. Keep the suggested folder (C:\Program Files\MediPOS) and click Install.
6. When it finishes, leave Open MediPOS ticked and click Finish.

Installing takes a few minutes. The installer creates MediPOS's own private database, loads the medicine database, and registers the MediPOS Host Windows service, which starts with Windows, makes the daily backup and prints receipts. It also asks Windows Defender to skip MediPOS's folders so scanning does not slow the POS, and, if you ticked the counter box, opens port 8321 in Windows Firewall for private networks only.

If something goes wrong you see "Setup could not finish" with a code. Note the code and call MediPOS support; the details are in C:\ProgramData\MediPOS\logs\setup.log. Running the installer again is safe.

How to create your pharmacy on the main PC

When MediPOS opens, it shows Starting MediPOS… while its services start (up to two minutes on a slow PC). A new main PC has no pharmacy on it yet, so the app then opens the Set up your pharmacy window by itself. You fill it in once, right there in the MediPOS app. There is no web page to open and no command to type.

The left side of the window lists the three things to do on the first day:

1. your pharmacy and owner account;
2. activate the licence — online or with a code;
3. choose the receipt printer in Settings.

To create your pharmacy:

1. Fill in Pharmacy name, for example "Al-Shifa Medical Store", and City.
2. Fill in the owner's details: Owner's name, Mobile number (a Pakistani mobile such as 0300 1234567) and Email.
3. Choose a Password and type it again in Confirm password. It needs at least 10 characters, with letters and numbers.
4. Click Create my pharmacy.

MediPOS creates your branch (code MAIN; your first bill will be INV-000001, and you can change the format in Settings → Invoice numbers), its Main Store and Quarantine locations, the default roles, your accounts and the usual payment methods: cash, bank transfer, EasyPaisa, JazzCash and card. You are signed straight in as the owner, and the app opens on Account → Licence so you can activate the PC (see below). Add your staff later from Team.

After this, MediPOS opens on the sign-in screen, with Server: This PC at the bottom. Sign in with the email or mobile number and password you chose.

This sign-in lives on the main PC. It is separate from your online MediPOS account, which you use to pay for the plan and to activate the PC; using the same email and password for both keeps things simple.

The 14-day evaluation and activation

A new main PC runs as an evaluation for 14 days from its first start, with every feature. You can load your stock and bill customers from day one. When the 14 days end, the PC goes into restricted mode: you can still open, print and export everything and receive customer payments, but new sales, purchases and stock changes pause until the PC is activated. Nothing is deleted.

Activation links this PC to your paid plan through your online owner account. You do it yourself, in the MediPOS app, under Account → Licence. The app opens that screen straight after setup, and you can come back to it at any time. There are two ways:

• Activate online. Type your MediPOS account (email or mobile) and Password, give the PC a name in Name this PC (for example "Main counter"), and click Activate. The PC needs internet for about a minute; a phone hotspot is enough.
• No internet on this PC. The PC shows a request code and a QR code of it. Scan the QR with your phone, or sign in to the MediPOS website, and under Account → Plan & billing → Activate a PC without internet you get an activation code. Paste it on the PC and press Enter activation code, or bring it as a file on a USB drive and press Open file….

Rules and tips

• Installing needs a Windows user with administrator rights.
• Only one computer in the shop should be the main PC. Two main PCs means two separate pharmacies whose stock and sales never meet.
• Your data lives in C:\ProgramData\MediPOS: the database, the backups and the logs. Uninstalling MediPOS removes the program files only; your data and backups stay.
• The Offline edition runs one shop, with one branch. Several branches need the Cloud edition.
• Reinstalling does not restart the evaluation. Its start date is stored with your data.

Common questions

Do I need internet to install MediPOS Offline?

No. Installing, creating your pharmacy and billing all work without internet. Activation can be done online in a minute, or without internet on the PC, using an activation code you get on your phone. After that, the PC connects now and then for the licence check and updates.

Which computer should be the main PC?

The most reliable one: on all day, 8 GB of RAM if possible, and on a UPS. A laptop that goes home every night is a poor choice once you have counter PCs, because they cannot bill without it.

Will running the installer again delete my data?

No. It replaces the program files and keeps the existing database, settings and backups.
