Running out of Panadol on a Friday evening loses sales. A shelf full of cough syrup nobody asks for loses money. MediPOS gives you three stock reports for this medicine reorder and stock planning: Low stock & reorder for what to buy, Slow-moving & dead stock for what not to buy again, and Stock valuation for how much money sits on your shelves. This guide is for the owner or purchase manager who places orders with the distributors' order bookers.
The reports are part of the Reports module. If Reports is not in your menu, your plan does not include it. The owner can see what each plan includes under Plan & billing.
How to set a reorder level
A reorder level is the quantity at which MediPOS warns you. Set it per product:
- Go to Inventory → Products & stock and open the product.
- Click Edit and find the Stock control section.
- Enter the Reorder level (base units). It is counted in the smallest unit, so for Panadol 500 mg (boxes of 10 strips × 10) you enter tablets. For a warning at three boxes, enter 300.
- Save the product.
At or below that level, the product shows a Low stock badge in Products & stock, and the Low stock filter lists all such products. You can also set reorder levels for many products at once with a product import: the column is "Reorder when stock falls to (smallest units)".
A good starting point is one to two weeks of normal sales. For a fast item you reorder every week, set it higher. For something you buy once a month, set it lower.
How to use the Low stock & reorder report
Open Money → Reports and choose Low stock & reorder under Stock. The owner dashboard's "medicines to reorder" alert opens the same report. It lists two kinds of product:
- products with a reorder level whose stock is at or below it;
- products with no stock left that still sold in the last 30 days, even if you never set a reorder level. These are the ones customers are asking for.

All figures are in the unit shown in Unit, the smallest unit. For example, Augmentin 625 mg sold 180 tablets in 30 days and you have 42 left, so the suggestion is 138 tablets. That is 23 packs of 6. Round it to what the distributor sells, and their scheme may make 25 packs better value.
A weekly ordering routine
- Before the order booker visits, open Low stock & reorder. With several branches, pick the branch you are ordering for.
- Type a name or generic in Product to narrow the list, for example all your cefixime brands.
- Click Print / PDF or Excel and mark up the list by distributor.
- When the delivery arrives, enter the bill in Purchases. The products drop off the report once the stock is in.
How to find slow-moving and dead stock
Slow-moving & dead stock lists products that have stock but have not sold for a while. Choose the period in Not sold for: 30 days, 60 days, 90 days (the default), 6 months or A year.
The columns are On hand, Cost value, Last sold and Days without a sale. The biggest cost value comes first, so the top rows are where your money is stuck. A blank Last sold means the product has never been sold in MediPOS.
What to do with it:
- Stop reordering it, or buy smaller quantities.
- Move it to the front shelf, or to a branch where it sells.
- If it is close to expiry, return it to the supplier while they will still take it.
How to check the value of your stock
Stock valuation shows stock on hand right now, product by product, including Quarantine. You see On hand, the number of Batches, Cost value (each batch at its purchase cost, bonus included), Retail value (the batch MRP or the product price) and Potential profit. Use the total before a big distributor order. If Rs 18 lakh is already on the shelves, maybe the next order can wait.
Rules and tips
- All three reports need View reports. Cost value is only shown to people allowed to See purchase cost, and Potential profit only to those allowed to View profit.
- The reports show the branch you are working in. People with All-branch reports can switch to All branches. The Offline edition has one branch, so there is nothing to switch.
- None of the three has a date range. They always show stock as it is today. Every report can be printed or downloaded as Excel or CSV.
- A reorder level of zero or blank means "no level". Such a product only appears once it has sold out but is still selling.
Common questions
Why is a medicine missing from the low stock report even though it is almost finished?
It has no reorder level, and it has not reached zero yet. Set a Reorder level (base units) on the product and it will appear at that point.
The suggested order is zero, but the product is on the list. Why?
You have more in stock than you sold in the last 30 days, but you are at or below your reorder level. Either the level is set high, or sales have slowed. Decide from the Sold (30 days) figure.
Does stock in Quarantine count as available?
Not for low stock, because it cannot be sold. It does count in Stock valuation and in Slow-moving & dead stock, because it is still your money.
Can MediPOS send the order to my distributor?
No. MediPOS does not send orders. Print the list or download it as Excel, and share it with the order booker yourself.
